Who we are

Pain Clinics UK Holdings Ltd, trading as UK Pain Clinic, is the data controller for personal information collected through this website and in clinic. Our address is UG, 77 Southampton Row, London WC1B 4ET. You can contact us about privacy at info@ukpainclinic.com.

What we collect

  • Contact form: your name, email address, phone number (optional) and message, plus the language you used.
  • Booking: bookings are made through Jane App, an independent practice-management provider. Jane's own privacy policy applies to information you enter there.
  • Clinical records: when you become a patient we keep the health records required by our professional regulators (HCPC, GCC). These are not collected through this website.
  • Symptom checker and chat assistant: the answers you give are processed to show results and are not stored against your identity. Please do not enter identifying details.
  • Cookies and analytics: essential cookies make the site work. Optional analytics cookies are only set if you accept them in the cookie banner.

Why we use it (lawful basis)

  • To respond to your enquiry — legitimate interests and, where you become a patient, contract.
  • To keep clinical records — legal obligation and provision of health care (special category data, Article 9(2)(h)).
  • Analytics — consent.

Who we share it with

We use trusted processors to run the clinic and this website (practice-management software, website hosting, email and database providers, AI assistant provider for the chat feature). We share information with your private medical insurer only where you ask us to claim on your behalf. We do not sell personal data.

Some providers may process data outside the UK; where they do, transfers are protected by UK-approved safeguards.

How long we keep it

Contact-form messages are deleted within 12 months. Clinical records are retained for the periods required by UK health-record guidance (usually 8 years for adults, longer for children).

Your rights

You have the right to access, correct, erase or restrict your data, to object to processing, and to data portability. Email info@ukpainclinic.com to make a request. You can also complain to the Information Commissioner's Office (ico.org.uk).

Security

Data is stored on encrypted, access-controlled systems. Only staff who need it to provide your care can see it.
